About the Role
Sichenzia Ross Ference Carmel LLP (SRFC) is seeking a detail-oriented and highly organized A/R and A/P Specialist to join our Finance team. This role will focus heavily on Accounts Receivable functions, ensuring accurate billing, collections, and reporting, while also supporting Accounts Payable and general accounting activities. The ideal candidate will bring law firm experience and strong proficiency in QuickBooks, ZenCase, and Excel.
Key Responsibilities
Accounts Receivable (Primary Focus):
- Process and post all cash receipts including checks, ACH, and wire transfers.
- Monitor and manage client accounts receivable balances, proactively following up with attorneys and clients on outstanding invoices.
- Prepare and distribute client invoices and monthly statements with accuracy and timeliness.
- Manage LEDES and e-billing submissions, troubleshooting rejections and ensuring compliance with client billing guidelines.
- Maintain detailed records of collections efforts, payment plans, and client communications.
- Prepare aging reports and assist in cash flow forecasting for firm leadership.
- Partner with attorneys to review work-in-progress (WIP), unbilled time, and ensure accurate billing cycles.
Accounts Payable:
- Process vendor invoices and staff reimbursements in compliance with firm policies.
- Prepare and execute vendor payments (checks, ACH, and wire transfers).
- Reconcile vendor accounts and research discrepancies.
General Accounting & Reporting:
- Perform monthly reconciliations for bank accounts, credit cards, and balance sheet accounts.
- Assist with month-end closing activities.
- Provide financial reporting support, including A/R aging analysis and cash receipts reporting.
- Ensure compliance with internal controls, accounting policies, and best practices.
Qualifications
- 3+ years of A/R and A/P experience, in a law firm.
- Strong knowledge of Accounts Receivable best practices including collections, LEDES billing, and WIP management.
- Proficiency in QuickBooks, ZenCase, and Microsoft Excel (pivot tables, formulas, vlookups preferred).
- Excellent organizational skills with high attention to detail.
- Strong communication and interpersonal skills to interact with attorneys, clients, and vendors.
- Ability to manage competing priorities and meet deadlines in a fast-paced environment.
